How to process in a charity

Once you have set up your charity, most of the software features remain similar to other types of companies in Sage Accounts. There are a few important differences that are covered in this section:

Accounts Professional- Funds aren't available in Sales Order Processing. Once an order has been processed you can apply the fund to the income.


Recording a donationOpen this section

Tip: If you want to flag a donation for Gift Aid, you must first complete information about the Gift Aid declaration in the customer record.

To record a donation

  1. Modules > Bank.
  2. Select the bank record you want to record the donation against > Donations > complete the Donations window as required, for example:

  3. Save > Close.

    * Select this check box to record a transaction under GASDS.

Transferring a fund balanceOpen this section

Note: If you have set up a bank account for each fund you must also do a bank transfer. Read more

  1. Modules > Financials > from the Links pane, click Funds.
  2. Transfer > complete the Fund Transfer window.
  3. Save > Close.

Viewing fund activityOpen this section

  1. Company > Funds.

  2. Activity > select the required fund > OK.

    Tip: To change the transaction or date ranges for the Activity report, click Range.

  3. When you have finished viewing the details of a fund, either choose another fund or click Close.

    View the activity information details that appearOpen this section

    No

    The audit trail number that is automatically assigned to each transaction.

    Type

    Identifies the type of transaction.

    Date

    The date entered for the transaction when it was posted.

    Ref

    The reference given to the transaction when it was posted.

    Account

    The account code for the donor transaction activity.

    N/C

    The nominal code established when the donor record was created, or when the fund was first recorded. For example, when the opening balance is recorded.

    Details

    Identifies the nature of the transaction.

    Debit/Credit

    The total amount of either the debit or credit value of the transaction.

    Amount

    The overall balance of the fund.
